Terms and Conditions
1. GENERAL
1.1 The following terms and conditions are between Advanced Urinary Catheterisation Academy Limited and the customer.
1.2 By booking a course with Advanced Urinary Catheterisation Academy Limited, the customer accepts and enters into a legally binding contract with the supplier and agrees to the terms and conditions listed.
1.3 All of these Terms and Conditions apply to the supply of any goods and services unless specified otherwise by the supplier.
1.4 The Supplier is Advanced Urinary Catheterisation Academy Limited (registered in England and Wales with company number: 12389008) with the main office situated at 24 Garth Road, Kingston upon Thames, KT2 5NY, United Kingdom.
2. DEFINITIONS
2.1 “Conditions” means these terms and conditions as set out in this document, as amended accordingly.
2.2 “Learner” or “delegate” means a person who is booked to attend a course.
2.3 “Customer” means the purchaser of services, either an organisation or an individual, including those attending the course themselves.
2.4 “Individual” means a person who attends a scheduled open course.
2.5 “Course” means one of our courses listed on the website and organised and run by Advanced Urinary Catheterisation Academy, including any related products and services supplied.
2.6 “Services” meaning all of the courses, and any other related products and services that are supplied by Advanced Urinary Catheterisation Academy.
2.7 “Organisation” means a customer which is a company, charity, or a group of people, including department bookings or someone booking on behalf of individuals to attend an open course.
2.8 An “Open Course” is a scheduled course at training venues, available for booking by individuals and organisations on the website.
2.9 A “Private Course” is a course conducted exclusively for a specific group or organisation and is not open to the general public. The organisation issues a purchase order to train a specific number of delegates on designated dates. The supplier provides a private registration link for the organisation's administration to register delegates at least 14 days before the event, allowing time to complete mandatory pre-course e-learning. Delegates who miss the scheduled skills training date will not be eligible for a refund; however, it is at the organisation's discretion to rebook those who missed the training on a Hybrid Course using a "free" pre-paid voucher code to avoid double payment.
2.10 A “Hybrid Course” means a course conducted at the training venue of an organisation, where the organisation registers suitable delegates through their education centre administrators using pre-paid numbered voucher codes. The Hybrid course is also open to the general public who can register and pay via the website.
2.11 “Business Day” includes Monday, Tuesday, Wednesday, Thursday, and Friday (excluding Saturday, Sunday, and Public Holidays in England and Wales). Additional fees apply for bookings on excluded days (see clause 3.6).
2.12 “Onsite Training” means completing a course at a customer's venue, provided it is deemed suitable.
3. BOOKING CONDITIONS
3.1 Customers can book a course via the website or by e-mail [email protected].
3.2 Advanced Urinary Catheterisation Academy Limited will provide the course at the customer’s chosen venue or at one of its training venues, if suitable.
3.3 The supplier may make necessary changes to the service without prior notification to comply with health and safety or statutory requirements, provided these changes do not affect the service quality.
3.4 If onsite training is booked and the venue is deemed unsuitable, the trainer may refuse to conduct the training. No refund will be issued, and the course fee remains payable.
3.5 Customers must ensure that the training venue is clean, safe, and provides adequate space for attendees and equipment setup as per HSE guidelines.
3.6 Additional fees apply for courses scheduled on non-business days (Saturday, Sunday, or bank holidays).
3.7 Registered charities are eligible for a 10% discount on each booked course.
3.8 Advanced Urinary Catheterisation Academy Limited reserves the right to adjust prices, venues, or trainers as necessary.
4. PAYMENT AND VAT
4.1 Fees for services are set out in the quotation on a time and material basis.
4.2 In addition to fees, the supplier can recover reasonable incidental expenses and costs of services or materials required for service performance, including, but not limited to, travelling expenses, hotel costs, subsistence, and any associated expenses;
b. the cost of services provided by third parties and required by us for the performance of the Services;
c. the cost of any materials required for the provision of the Services.
4.3 Payments for all course bookings must be made within 14 days of the course start date. The supplier reserves the right to refuse admittance until full payment is received unless prior arrangements are made.
4.4 Interest on late payments may be charged at 4% per annum above the Bank of England base rate from the outstanding amount's due date until full payment is received (no VAT is chargeable on the interest itself).
4.5 Free pricing quotations will be confirmed via e-mail and are valid for 7 days from the e-mail date.
4.6 Customers must pay for any additional services not specified in the quotation according to the applicable rate at the time of service. The provision of clause 4.2 also applies to these additional services.
4.7 Certificates will not be issued until full payment is received unless prior arrangements are made. This clause is included in the invoice instructions
4.8 VAT will be charged on all fees at the prevailing rate as stated on the invoice.
4.9 Payments made online are subject to a 14-day cancellation period. If a voucher is redeemed during this period, the right to cancel and receive a refund is forfeited. Cancellations must be made via email to [email protected], stating the full name of the delegate, email, and registered course date and time. Refunds will be processed within 14 calendar days from the accepted cancellation date.
5. CANCELLATION OR TRANSFERS OF A COURSE BY CUSTOMER
Cancellations and transfers by the customer will incur the following charges:

6. CANCELLATION OR TRANSFERS OF A COURSE BY ADVANCED URINARY CATHETERISATION ACADEMY LIMITED
In case of course cancellation or date/venue alteration by the supplier, bookings will typically be transferred to the next available course of equal value.
7. RESCHEDULING OF A COURSE
7.1 Courses can be rescheduled without charge subject to availability with at least 14 working days' notice before the original course date.
7.2 Rescheduling with less than 14 working days' notice will incur a charge of 50% of the original course booking fee.
8. ATTENDANCE
8.1 Failure to attend a course is considered a cancellation without notice, with full payment due (refer to clause 5).
8.2 Late arrival or absence may result in refusal to continue training, with payment still due in full (see clause 8.4).
8.3 Full attendance and completion of all course aspects are required for certification.
8.4 The supplier reserves the right to refuse admission to any unsuitable individual.
9. SUITABILITY
9.1 The customers have the responsibility of ensuring the course they have booked on to is suitable for the delegates attending. Even when a customer has liaised with an Advanced Urinary Catheterisation Academy employee and received course recommendations, the final decision on the course suitability is the customer’s responsibility.
9.2 The supplier's Equality and Diversity Policy ensures fair treatment and full requirement fulfillment for all delegates.
9.3 Customers should inform the supplier in advance of any special requirements to assist delegates in completing the course.
9.4 The supplier does not provide specialist equipment or personnel, such as translators.
9.5 Courses are delivered in English, and delegates must be fluent in English. Non-fluent delegates will not be able to participate, and no refund will be issued.
10. THE AGE, FITNESS, AND NATURE OF LEARNERS
10.1 Learners must meet physical course requirements, including practical participation, suitable clothing, communication skills, and being 18 years or older.
10.2 Delegates unable to meet these requirements will not be able to attend the course.
11. RE-CERTIFICATION
11.1 Booking a course includes agreement to receive re-certification reminders (after 3 years).
11.2 Customers and delegates must bring a valid certificate for re-certification courses, with up to 28 days to requalify.
11.3 Re-certification certificates issued to delegates who did not complete initial training will be invalid.
12. REPLACEMENT CERTIFICATES
12.1 Replacement certificates can be requested within 3 years of a valid certificate completion.
12.2 Replacement certificates can be sent via e-mail as a PDF free of charge.
13. E-LEARNING AND BLENDED COURSES
13.1 Payment for each e-learning license will result in login details being issued within 24 hours.
13.2 For Blended Courses, delegates must complete the online element before the practical day and bring proof of completion. Failure to do so will result in non-participation, with full payment still required.
14. HEALTH AND SAFETY MEASURES DURING ON-SITE TRAINING
14.1 Customers must ensure that the training venue complies with all applicable health and safety regulations and provides a safe environment for both trainers and delegates.
14.2 The training venue must be equipped with appropriate safety equipment and emergency procedures, including but not limited to, fire extinguishers, first aid kits, and clear emergency exits.
14.3 It is the customer's responsibility to inform the supplier of any specific health and safety requirements or potential hazards at the venue prior to the course date.
14.4 The supplier reserves the right to cancel or reschedule the training if the venue is deemed unsafe or non-compliant with health and safety standards. No refund will be issued, and the course fee remains payable.
14.5 Delegates must adhere to all health and safety guidelines provided by the trainer during the course. Failure to comply may result in removal from the course with no refund.
14.6 In light of any ongoing health concerns, such as COVID-19, customers must ensure that the venue adheres to the latest public health guidelines, including social distancing, sanitation, and the provision of personal protective equipment if necessary.
15. LIABILITY
15.1 Our liability under these Terms and Conditions, and in breach of statutory duty, shall be limited as set out in this section.
15.2 The supplier aims to deliver courses at venues that provide good access to public transport. Advanced Urinary Catheterisation Academy Limited is not liable for any possible parking charges.
15.3 We are not liable (whether caused by our employees, freelance trainers, or otherwise) in connection with our provision of the Services or the performance of any of our other obligations under these Terms and Conditions for the following:
a. Any indirect, special or consequential loss, damage, costs, or expenses; or
b. Any loss of profits; loss of anticipated profits; loss of business; loss of data; loss of reputation or goodwill; business interruption; or other third-party claims; or
c. Any failure to perform any of our obligations if such delay or failure is due to any cause beyond our reasonable control; or
d. Any losses caused directly or indirectly by any failure or your breach in relation to your obligations; or
e. Any losses arising directly or indirectly from the choice of services and how they will meet your needs or your use of the services or any goods supplied in connection with the services.
15.4 Nothing in these Terms and Conditions shall limit or exclude our liability for death or personal injury caused by our negligence, or for any fraudulent misrepresentation, or for any matters for which it would be unlawful to limit liability.
15.5 The total amount of our liability is limited and shall not exceed the sum of the price paid by the Customer for the Services.
15.6 The information provided by the supplier either on the website or any documentation provided is for general information only and should not be treated as a substitute for medical advice given by a healthcare professional. Therefore, the supplier is not responsible or liable for any actions taken by an individual based on this information.
16. COMPLAINTS
Complaints about services should be directed to a team member for resolution or via e-mail [email protected].
17. REFUNDS
17.1 Refunds may take up to 30 working days to process.
17.2 Refunds will be processed by the original payment method unless otherwise arranged.
17.3 Refunds will be made in GBP (£) for the exact amount originally paid.
17.4 No refunds for course failures or non-attendance (in line with clause 8).
18. DATA PROTECTION
18.1 When supplying the services to the customer, the supplier may gain access to and acquire the ability to transfer, store, or process personal data of the customer and those attending the course.
18.2 Personal data will be processed only as reasonably required.
18.3 Contact details will not be shared with third parties.
18.4 The supplier's Privacy Policy is available on the website or via e-mail [email protected] on request.
19. CUSTOMER DATA RIGHTS
19.1 Customers can request details of personal information held, request data deletion, and restrict data use as per the Data Protection Act 2018.
19.2 Contact the team via email [email protected] for data inquiries or changes.
20. TERMINATION
20.1 The supplier can terminate the provision of services immediately for the following reasons:
a. Commit a material breach of your obligations under these terms and conditions; or
b. Fail to make full payment by the given due date for payment; or
c. Are or become or, are about to become, the subject of a bankruptcy order or take advantage of any other statutory provision of the relief of insolvent debtor.
20.2 The supplier does not accept any liability for the consequences of the termination of the services.
20.3 The consequences of the termination arise without prejudice to the duties, rights, and liabilities of either party made prior to the termination of the service.
21. COPYRIGHT
21.1 The supplier owns all course materials, except for third-party published materials.
21.2 Course materials provided by the supplier may only be used by a learner of a training course for their personal use.
21.3 The reproduction, distribution, or commercial use of any course materials without prior written consent from the supplier is strictly prohibited.
21.4 The supplier grants the customer a non-exclusive, non-transferable license to use the course materials solely for the purpose of participating in the course.
21.5 Any use of course materials beyond the scope of the provided license may result in legal action.
22. GOVERNING LAW
These terms and conditions shall be governed by and interpreted in accordance with the law of England and Wales.
